What we are looking for
A rigorous, structured, and proactive Administrative Assistant for bids and proposals who wants to play a key role in the preparation, compliance, and delivery of service proposals, as well as in the document and contract management of mandates.
This position is at the heart of the Bid Desk and contributes directly to the organization’s performance, credibility, and efficiency with its public and private clients.
Your day-to-day role
Under the supervision of the VP of the Building Business Unit and in collaboration with the current resource, you will contribute to the entire bid and proposal process for all business units.
You will be called upon to
- Monitor opportunities on SEAO and other platforms
- Open, structure, and maintain opportunity files
- Update bid tracking spreadsheets
- Coordinate the preparation of service proposals and ensure their administrative compliance
- Collect and maintain required documents (CVs, project sheets, certifications)
- Format proposals according to established templates
- Manage addenda, questions, answers, and client communications
- Coordinate exchanges with subcontractors and multidisciplinary collaborators
- Relay contractual requirements and ensure compliance of received proposals
- Participate in contract administration after mandate award
- Ensure document management and quality control of files
- Contribute to updating internal libraries and producing reports and statistics

What we are looking for in you
- Administrative rigor and keen attention to detail
- Excellent organizational skills and ability to manage priorities
- Strong proficiency in Word, Excel, and PDF, including advanced formatting
- Good proficiency in Microsoft Teams
- Ability to manage multiple files simultaneously under tight deadlines
- Excellent written and oral communication skills
- Discretion and respect for confidentiality
Assets
- Experience with SEAO or similar submission platforms
- Experience in an engineering or architecture services firm
- Knowledge of contract administration
- Experience with a CRM or ERP
- Ability to develop templates and automated tools
- French-English bilingualism with French predominance
